Privacy policy

How EMS-2 Ltd, trading as Ecoweald, handles the personal data you give us when you enquire about or book an energy assessment.

Who we are

EMS-2 Ltd, trading as Ecoweald, is the data controller. Registered in England and Wales, company number 11235441, registered office 128 City Road, London EC1V 2NX. We are registered with the Information Commissioner's Office under reference ZB664140. Contact us on 07946 618203.

What we collect, and why

  • Enquiries. When you call, message us on WhatsApp, or use the quote form on this site, we receive the details you send: your name, phone number, the property postcode and anything you tell us about the property. We use these to quote for and arrange your assessment. The quote form on this site does not store anything on our servers; it opens WhatsApp on your device with your message pre-filled, and WhatsApp's own privacy policy applies to that message in transit.
  • Assessments. To carry out an EPC or Retrofit Assessment we record the property address, measurements, photographs of the property, details of its construction and heating, and the name and contact details of the person who booked. This is necessary to perform the contract with you and to meet the requirements of our accreditation schemes.
  • Lodgement. An EPC must by law be lodged on the national Energy Performance of Buildings Register, which publishes the certificate and the property address. Retrofit Assessment data is passed to the Retrofit Coordinator and scheme administrator responsible for the funded works, as PAS 2035 requires.
  • Accounts. We keep invoices and payment records as required by tax law.

Lawful basis

We process enquiry and booking data because it is necessary to take steps at your request before entering a contract, and to perform that contract. We process lodgement and audit data to comply with legal and accreditation obligations. Where we keep records after the work is finished, we rely on our legitimate interests in defending complaints and meeting scheme audit requirements.

Who we share it with

  • Our accreditation scheme (Elmhurst or ECMK) and the national EPC register, for lodgement and quality audit.
  • Retrofit Coordinators and scheme administrators, for Retrofit Assessments.
  • TrustMark, where the work is delivered under a TrustMark route.
  • Our accountant and software providers, under contract, for invoicing and record keeping.

We do not sell your data or pass it to marketing companies.

How long we keep it

Assessment records and photographs are kept for as long as our accreditation scheme requires for audit purposes, and financial records for six years after the end of the tax year they relate to. Enquiries that do not lead to a booking are deleted within twelve months.
